Officer Job Descriptions

PRESIDENT:

  • Organize and chair executive and general meetings; participate in discussions and decision making.
  • Develop agenda and pass on to the Secretary to be typed up
  • Delegate responsibilities to members when needed; ie:  committees
  • Liason between PTO and School Administration
    • Contact School Adminstrators regarding scheduling, copying, regulations, etc.
  • Liason between PTO and Teachers
    • Contact teachers regarding programs, supplies, etc. 
  • Oversee and approve committee activities

VICE PRESIDENT:

  • Assist the President
    • Lead meetings in Presidents absence
    • Accept delegated responsibilites
  • Participate in executive board meetings and provide input for decisions
  • Participate in the development of the agenda
  • Responsible to be an Ambassador for the PTO and the school
  • Optional Additional Duties:
  • Develop and maintain the Procedures Book
  • Research and develop the bylaws
  • Serve as a bylaws expert
  • Oversee committees, train committee chairpeople and be a liason between committee chairpeople and the executive board

TREASURER:

  • Maintain accurate records of receipts, expenditures, bank deposits and disbursements as voted by membership
  • Prepare the Fund Report to be presented at every general PTO  meeting
  • Have all financial records available for inspection by PTO members at reasonable times
  • Provide the cash box for every paying event sponsored by the PTO
  • Complete all necessary financial forms that any PTO events require
  • Prepare a Receipts and Expenditures report to be presented at every general PTO meeting
  • Responisible to be aware of all legal, tax and other financial rules governing PTO's

SECRETARY:

  • Attend executive and general meetings, participate in discussions and decision making
  • Take minutes at the Executive board meetings (when required), type them up and distribute to the PTO Officers in a timely manner
  • Take minutes at the General meetings, type them up and distribute to the PTO Officers and PTO Webmaster in a timely manner
  • Type up and photo copy the Agenda for the next PTO meeting, as developed by the President and Vice President
  • Prepare sign in sheet, set out name tags (if needed), and arrange & ready the room for the    meetings
  • Maintain a complete file of all approved minutes, agenda's and material's distributed at any official PTO meeting

WEBMASTER:

  • Responsible for maintaining and updating the PTO web site as new information becomes available
